A practical approach to testing volume rebate settlements without drowning in every purchase line.
Volume rebates look simple until tiers reset mid-year or exclude certain SKUs. A full purchase-line dump is rarely the right first move.
Define the population
Identify which purchase categories count toward the rebate. Many Hong Kong supply agreements exclude samples, returns, or cross-border drop-ships. Document those exclusions before you sample.
Stratify, then sample
Separate high-value months and months near tier thresholds. Sample invoices that sit just below and just above breakpoints — that is where misclassification hurts most.
Tie to settlement evidence
A correct volume total still fails compliance if the credit note used the wrong rate. Match each tested period to the vendor’s rebate statement and the ledger credit.
When data is missing
If a subsidiary cannot produce packing lists, record a scope limitation. Inventing volumes from memory interviews is not financial auditing; it is storytelling.
